How to encourage feedback during a project meeting without the attendees feeling intimidated?

We tend to think of feedback as summative (post-meeting), but they can also be formative (ongoing). Here’re 3 ways to encourage feedback during a meeting without the attendees feeling intimidated:

  1. Make it informal, e.g. ask online attendees to use the reaction buttons to upvote an issue to discuss.
  2. Encourage verbal and written feedback. Some attendees may find one form of communication more intimidating than the other. If possible, make the feedback tool anonymous. This eases the pressure on the attendees that they might “say something wrong”.
  3. Be specific! If you’re looking for feedback in a specific area, say so (rather than sending out a generic survey that gives you general information). To encourage feedback, you can also share:
    • why you’re requesting the feedback
    • what it could accomplish
    • how attendees can help during the meeting
